Purchasing Specialist
Vall d'Hebron Research Institute (VHIR) is a public sector institution, located in Barcelona (Spain) that promotes and develops innovative biomedical research at the University Hospital Vall d'Hebron. VHIR is oriented towards finding solutions to the health problems of the citizens and has the will to contribute to the scientific, educational, social and economic development within its area of competence.
VHIR is seeking a Purchasing Specialist to join our organisation as a key member of the Purchase and Bidding Unit.
Education and qualifications:
Required:
- Bachelor’s Degree in Business Administration, Management and Administration, Economics and Finance, or a related field.
- Fluency in Catalan, Spanish and English (business level).
Desired:
- English: First Certificate (B2)
Experience and knowledge:
Required:
- Minimum of 2 years of experience in purchasing departments of large organisations (public or private sector), preferably in high operational demand or high activity volume contexts.
- Experience in negotiations and handling issues with suppliers.
- Experience in customer service.
Desired:
- Experience working in the Administration or Public Sector will be a plus.
- Experience in a Central Purchasing Department.
- Knowledge of the FUNDANET software will be a plus.
- Preferably, experience in inventory management.
Main responsibilities and duties:
- Provide support to all tasks within their area of responsibility as assigned by their supervisor.
- Manage and coordinate staff travel with approved travel agencies at VHIR.
- Manage telecommunications.
- Manage VHIR’s fixed assets and inventory.
- Handle customs procedures.
- Manage purchase orders and processing.
- Manage payments using VISA cards.
- Resolve issues (returns, internal and external billing errors).
- Process management requests with other entities collaborating with VHIR.
- Maintain the supplier database for annual evaluation.
- Manage and process office supply orders derived from the corresponding tender procedure.
- Process documentation required for the justification of European funds (Next Generation EU Funds).
- Ensure that activities are carried out in accordance with the requirements established in the Unit’s quality system procedures, and drive and implement continuous improvement within their area of responsibility.
- Provide support and follow-up for needs arising from projects involving financial reporting and justification.
Labour conditions:
- Full-time position: 40h/week.
- Starting date: immediate.
- Gross annual salary: Remuneration will depend on experience and skills. Salary ranges are consistent with our Collective Agreement pay scale.
- Contract: Permanent.
