Events Administrative Assistant
The Vall d’Hebron Research Institute (VHIR) is seeking an Events Administrative Assistant to join the Communication Unit. Our Unit forms part of the Communication, Corporate Strategy and Citizen Assistance Department of the Vall d’Hebron Barcelona Hospital Campus. We are responsible for promoting and raising awareness of the research conducted across Vall d’Hebron, ensuring its visibility among a wide range of audiences through strategic communication initiatives and events.
Main responsibilities and duties:
Coordinate and manage internal and external events.
Provide administrative and logistical support to the Events Unit.
Collaborate closely with other Communication teams, including Internal Communication, Press and Digital Communication.
Plan, organise and execute in-person, hybrid and online events, including institutional visits, conferences, workshops and webinars.
Support event evaluation through data collection, reporting and analysis.
Monitor event performance and track key performance indicators (KPIs).
Education and qualifications:
Required:
Higher vocational training qualification or university degree in Communication, Event Management or a related field.
Additional or specialised training in event management and organisation.
Fluency in Catalan, Spanish and English (written and spoken).
Desirable:
Knowledge of or experience in scientific communication, research dissemination or the healthcare sector.
Experience and knowledge:
Required:
At least 2 years of experience organising in-person and online events and coordinating institutional visits.
User-level knowledge of videoconferencing platforms and digital event management tools.
Strong organisational skills, attention to detail and problem-solving abilities.
Ability to work effectively both independently and as part of a multidisciplinary team.
Excellent interpersonal and communication skills, with the ability to engage with diverse stakeholders and audiences.
Desirable:
Ability to manage multiple projects simultaneously and work effectively under tight deadlines.
Labour conditions:
Working hours: Full-time position (37,5 hours per week).
Starting date: As soon as possible.
Gross annual salary: Remuneration will be determined by experience, skills and responsibilities and aligned with the Collective Agreement pay scale.
Contract type: Temporary contract (sick leave replacement).
